1. Booking & Payment Terms
1.1 Reservation Confirmation
A booking is confirmed only after JKDeco receives a non-refundable deposit of [50%] of the total service fee. This deposit secures the event date and time for the client.
1.2 Payment Schedule
- The remaining [50%] balance must be paid in full no later than [7] days before the event date.
- For last-minute bookings (made within [7] days of the event), full payment is required at the time of reservation.
- Payments can be made via bank transfer, online portal, or cash (as agreed in writing).
1.3 Late Payment
If the final balance is not received by the deadline:
- JKDeco reserves the right to delay or cancel the setup of services without prior notice.
- A late fee of [2%] per week on the outstanding amount will be charged until payment is received in full.
2. Cancellation & Rescheduling Policy
2.1 Client Cancellation
- 30+ days before the event: The non-refundable deposit is forfeited. No additional fees apply.
- 14–29 days before the event: The client is liable for [75%] of the total service fee.
- Within 13 days of the event: The client is liable for 100% of the total service fee.
2.2 Rescheduling
- Clients may reschedule their event once, provided JKDeco has availability on the new date.
- A rescheduling fee of [RM 100 / USD 25] applies to cover administrative costs.
- The new event date must be within [6] months of the original date.
2.3 JKDeco Cancellation
In the unlikely event JKDeco cannot fulfill the service due to unforeseen circumstances (e.g., extreme weather, equipment failure, or staff illness):
- JKDeco will offer the client a full refund of all payments received.
- JKDeco will assist the client in finding a reputable alternative decor vendor at no extra cost.
3. Scope of Services & Design Specifications
3.1 Service Description
JKDeco will provide decor services as outlined in the signed quotation or design proposal. This includes:
- Setup, teardown, and delivery of agreed-upon props (e.g., backdrops, centerpieces, balloons).
3.2 Material Substitutions
JKDeco reserves the right to substitute flowers, fabrics, or decor items with similar quality and style if the original items are unavailable due to:
- Seasonal changes.
- Supply chain issues.
- Unforeseen shortages.
- Clients will be notified of any substitutions at least [3] days before the event.
3.3 Custom Design Approval
- For custom designs (e.g., personalized backdrops, theme-specific props), the client must provide written approval via email or WhatsApp at least [10] days before the event.
- No changes will be made after this approval is given.
4. Setup & Teardown Logistics
4.1 Venue Access
- The client must ensure JKDeco has unobstructed access to the venue at least [2] hours before the event start time for setup.
- If access is delayed, JKDeco is not liable for incomplete setup or missed timelines.
4.2 Power & Safety
- The client or venue must provide adequate power outlets for electrical decor items (e.g., fairy lights, LED signs).
- JKDeco will not be held responsible for power outages or safety issues caused by the venue’s electrical system.
4.3 Teardown
- JKDeco will teardown all decor items within [1] hour after the event ends (or as agreed in the proposal).
- If the client requests an extended teardown time, an overtime fee of [RM 50 / USD 15] per hour applies.
5. Damages & Liability
5.1 Post-Setup Responsibility
- Once JKDeco completes the setup and hands over the venue to the client, the client assumes full responsibility for all decor items.
- JKDeco is not liable for damage, loss, or theft of props caused by:
- Guests.
- Venue staff.
- The client.
5.2 Guest Misconduct
- For birthday events, JKDeco is not liable for damage to decor items caused by children or unsupervised guests.
- The client agrees to reimburse JKDeco for the cost of any damaged or missing props (as per the itemized list in the proposal).
5.3 Venue Damage
- JKDeco will use non-damaging installation methods (e.g., command strips, removable tape) to avoid harming venue property.
- JKDeco is not liable for:
- Pre-existing venue damage.
- Damage caused by the venue’s structural issues.
6. Photography & Marketing Rights
- JKDeco reserves the right to take photos and videos of the decorated venue for portfolio, website, social media, and marketing purposes.
- If the client wishes to opt out, they must notify JKDeco in writing at least [3] days before the event.
